documents and images to HTML documents and gif and jpeg images.

Tool is your solution.
The tool is designed to process the documents starting from the
document collection root, traversing the folder and file structure
performing numerous HTML, hyperlink, object renaming and property
filling tasks. The utility treats the migrated HTML documents
and images as a read-only source that is processed with the resulting
'clean' HTML documents created in a new collection root. The utility
is configurable via a number of user definable parameters that
can easily be specified using a simple user interface. The DocPrep
processing activities are written to an MS Access 2000 database
for debugging and document exception identification.
Features of the Tool:
- User-friendly
interface. - MS Windows compliant interface - menu, list,
dialog driven. Client installable package for easy distribution
of utility.
- User
configurable parameters. - User can specify basic parameters
such as start document collection root, output document collection
root, global document property values, hyperlink URL prefix,
hyperlink URL suffix etc.
Ability to save/load the user defined parameters as a project
set. - Save sets of parameters to different project parameter
files or lists.
- Resolve
hyperlinks. - Resolve all inter-document and cross-document
hyperlinks to relative URLs.
- Resolve
image source references. -Resolve all image source references
to relative URLs.
- Rename
folders and files to meaningful names. - Folders need to
be renamed to the category for that group of documents and the
files need to renamed to the title of the document - folder
and file names need to be less than 65 characters and should
be truncated to the nearest whole word - if the title was greater
than 65 characters indicate with an underscore at the end of
the name, eg A very long filename that needed to be made shorter_.htm.
This would be a useful configuration parameter.
- Populate
HTML metatags during batch clean up. - As each document
is processed populate any metatags where useful data is available,
eg. Title, Categories, Popup, RegNumber, Consolidated, Description.
- Populate
HTML metatags as required by the user. - Groups of documents
can be selected by a user and particular metatag values can
be set without altering existing data in the other metatags.
- Log
DocPrep activity in a database. - Parameters and changes
for each document need to be logged in an MS Access 2000 database,
eg. Original Name, New Name, Path to Object, Doc Properties
etc. The database will need to be queried for tracing purposes
at a later stage.
- DocPrep
Failure recovery. - DocPrep can start from the last document
it was processing in the event of the utility ending prematurely.
- File
and folder browsing. - User can browse to files and folders
if paths or file names need to be specified as parameters or
files need to be opened into DocPrep.
- Remove
redundant metatag entries. - The metatag definition <META
http-equiv="Content-Type" content="text/html;
charset=ISO-8859-1"> is inserted by the migration tool
below the <BODY> HTML tag - this metatag should be removed
as it already exists in the template between the HTML <HEAD>
</HEAD> tags.
- Resolve
each document's category. - While traversing the collection
resolve each documents category and populate the Categories
metatag with the appropriate category notation, eg. :Legislation:Alberta
Acts. Each document only belongs in one category hierarchy at
this stage.
- Set
CSS file link in each HTML document.
- Set a default path to a CSS file (Styles.css).
- DocPrep
user-friendly installer. - Application can be easily distributed
and installed by running a simple installation package on the
client workstations.
- Resolve
related documents -
Some documents refer to one or more document titles in the document
'Header' - these are considered to be related documents. The
unique DocID for each of these documents has to be resolved
and populated into the RelatedDocs property for the parent document.
The relationship between documents is many-to-many.
- Process
Popup documents to the specified Popups folder.
- The Documents will be processed by DocPrep to the specified
Documents folder (/Documents) in the destination root. Popup
documents will be processed by DocPrep to the specified Popup
folder (/Popups) in the destination root.
